Tabard
Privacy Policy
Effective date: Not yet in effect (draft)
Version: 1 (draft)
1. Who we are
Tabard is run by Space4Rent LLC, doing business as Tabard ("Tabard", "we", "us"), of Nashua, New Hampshire. Contact: info@space4rentllc.com.
Tabard is a marketplace. Brands (local businesses) run campaigns. Heralds (adults, 18 or older) are paid to wear a brand's apparel and prove it with photo and location check-ins. This policy explains what we collect, why, who sees it, how long we keep it, and your choices. It covers the Tabard website and app at this website (the "Service").
2. What we collect
From everyone
- Account details: your email address and a password. We never see your password in readable form; our sign-in provider stores it protected.
- Sign-in session data: small cookies that keep you signed in (see section 8).
- Basic technical records: our hosting and database providers keep ordinary server logs (such as time of request and error messages).
- Messages to us: anything you send to info@space4rentllc.com.
From Heralds
- Profile: display name, city, state, and top size.
- Age confirmation: that you confirmed you are 18 or older, and when.
- Applications and results: which campaigns you applied to, whether you were approved, withdrew, or were not chosen.
- Check-in photos and location: each check-in includes a photo you take and your phone's location at that moment (latitude, longitude, and how accurate it is), plus the time. Photos are JPEG images up to 3 MB.
- Consent record: which version of the check-in notice you accepted, and when.
- Brand review results: whether a check-in was approved or rejected, and the reason the brand gave if it was rejected.
- Payment records: how much you earned, and the status of each payout (calculated, held, paid, or failed).
- Payout account: to be paid you set up a payout account with Stripe, our payment provider. Stripe collects your identity and bank or card details directly. We receive only a Stripe account reference and whether the account is ready to receive money. We do not receive or store your bank details or government ID.
From Brands
- Business profile: business name, city, state, a contact email (if you give none we use your sign-in email), and an optional website.
- Campaign details: the campaigns you create, including dates, payout per Herald, and number of Heralds.
- Payment records: what you paid, refunds, and references to the Stripe payment. Your card details are entered on Stripe's page and never reach us.
- Your decisions: which applicants you approved or rejected and which check-ins you approved or rejected, with any reasons you wrote.
3. What each side can see
- A brand sees about a Herald it may approve or has approved: display name, city and state, top size, and the date applied. After approval, the brand sees that Herald's check-in photos, the time of each, the location on a map, and the location accuracy. A brand does not see a Herald's email address, payout details, or earnings elsewhere.
- A Herald sees about a brand: its business name and the campaign details. A Herald does not see a brand's email or payment details.
- Tabard can see all of the above to run the Service, resolve problems, prevent misuse, and keep records.
- Other users cannot see your data.
4. Why we use it
- To create and secure your account and let you sign in.
- To match Heralds with campaigns, and let brands review applicants.
- To verify check-ins (photo, time, and place) so that Heralds can be paid and brands can see the work was done.
- To collect payments from brands, hold them, pay Heralds, and send refunds.
- To handle disputes, support requests, and suspected fraud or misuse.
- To keep tax and accounting records as required by law.
- To keep the Service working and secure.
Check-in photos are used only to verify check-ins. A brand may not use a Herald's check-in photo in its own marketing, advertising, or social media without that Herald's separate written permission. We do not sell your personal information and we do not use it for advertising.
5. Location
We collect your precise location only when you take a check-in, and only after you accept the check-in notice. We do not track your location at other times. If you do not allow location, you cannot complete a check-in.
6. Who we share it with
We use these service providers, who process data for us:
| Provider | What for |
|---|---|
| Supabase | Database, sign-in, and private file storage for check-in photos |
| Vercel | Website hosting |
| Stripe | Taking brand payments, paying Heralds, identity checks for payouts, refunds |
We may also share information:
- With the other side of a campaign, as described in section 3.
- When the law requires it, for example a valid legal request, or to file tax forms such as a 1099 for Heralds paid above the reporting threshold.
- To protect people or the Service, for example to investigate fraud, a safety concern, or a violation of our terms.
- In a business transfer, such as a sale or merger of Tabard, where the new owner must honor this policy.
7. How long we keep it
| Data | Kept |
|---|---|
| Check-in photos and exact locations | Deleted 90 days after the campaign's end date, or later if payments for the campaign are not yet finished |
| Check-in records without the photo or location (time, slot, approved or rejected, reason) | Kept as long as needed for payments and disputes |
| Payment, refund, and payout records | Kept as the law requires |
| Account and profile details | Kept while your account is open; after it closes we delete what we are not required to keep |
| Support emails | Kept as long as needed to help you |
If a payout is unclaimed, we keep the related records as long as the law requires.
8. Cookies and similar tools
We use cookies only to keep you signed in and to protect your session. We do not use advertising cookies or third-party analytics. Fonts are served by our own site.
9. Your choices and rights
- See and fix your information: your account page shows your profile details. Email us to correct anything you cannot change.
- Delete your account or data: email info@space4rentllc.com. We will delete what we are not required to keep (see section 7).
- Location and photos: you can decline the check-in notice. You will not be able to check in.
- Residents of some states (for example California, Colorado, Connecticut, Virginia, and New Hampshire) may have additional rights to access, correct, delete, or obtain a copy of their personal data, and to appeal a refusal.
- You may contact us at info@space4rentllc.com for any request. We will not penalize you for using these rights.
10. Security
Photos are stored in a private location and shown to a brand only through short-lived links. Access to data is limited by account type. Payments are handled by Stripe. No system is perfectly secure, and we cannot promise absolute security. If we learn of a breach affecting your information, we will notify you and authorities as the law requires.
11. Children
Tabard is only for adults. Heralds must confirm they are 18 or older when signing up. We do not knowingly collect information from anyone under 18. If you believe a minor has an account, email us and we will remove it.
12. Other people in photos
A Herald should keep other people out of check-in photos where possible. If you appear in a photo and want it removed, email us.
13. Where data is stored
Data is stored and processed in the United States. Tabard is for people in the United States.
14. Changes
We may update this policy. If a change is material we will tell you in the Service or by email before it takes effect. The date at the top shows the current version.
